Clear ownership at the clinic front desk
Define who responds, when a handoff is complete and what the next shift needs to know.
A business-process guide. Examples are illustrative; no patient information is needed.
Give the next action one owner
“The team will handle it” leaves the next step unclear. Assign one role to the current administrative action and make that assignment visible. The owner can change as the enquiry moves through your workflow, but the current responsibility should be easy to find.
Set response targets your clinic can actually staff. Document working hours and how enquiries received outside those hours enter the queue. This guide does not prescribe a universal response time.
Define a complete handoff
- The outgoing role records the current status and the specific next action.
- The receiving role acknowledges the handoff in the agreed system.
- The due point remains visible, including anything already overdue.
- The team has a named escalation role when ownership is unclear.
- Clinical questions are passed to appropriate qualified staff through the clinic’s established process.
Use an administrative handoff note
A fictional process note might read: “ENQ-002 · Awaiting scheduling check · Next shift front desk to review available times by the agreed due point.” It describes work ownership without reproducing a private conversation.
Avoid marking a handoff complete merely because a message was sent. Decide what acknowledgement counts as acceptance, and what the outgoing role should do if that acknowledgement does not arrive.
Review the gap between policy and practice
Ask whether every open item has an owner, whether the response target is written down and whether the next shift can identify unfinished work. An honest “No” on the free scorecard is useful: it points to a process that needs a clearer rule.
A documented rule alone does not demonstrate that it is followed. Use the weekly checklist to review practice and agree one improvement with a responsible role. The score is a self-check, not an audit or a prediction of appointments.
