A weekly clinic follow-up review

Review unanswered enquiries, unclear outcomes and handoffs, then choose one practical next action.

Review unresolved work together

Set aside a regular point for the team to review administrative enquiries that still need attention. Use your approved records to identify open work, then discuss the process using role names and aggregate observations.

The purpose is to identify an actionable gap. It is not to assume that every enquiry would have become an appointment, or to turn unverified outcomes into a revenue estimate.

Work through eight process questions

  • Are enquiries recorded in one shared register?
  • Does every open item have an owner role?
  • Is the response-time target documented?
  • Are follow-up steps and their due points clear?
  • Is a consistent outcome status recorded?
  • Are missed or unanswered enquiries reviewed?
  • Is the source channel recorded?
  • Are handoff steps documented and understood?

Leave with one improvement

Choose one gap, an owner role and a review date. For example: “Front-desk lead will add an owner field to the process register and review unassigned entries at the next weekly meeting.” This is an illustrative action, not evidence of a result.

Keep the first change small enough to check. At the next meeting, ask whether the change was used and what is still unclear. If an outcome cannot be confirmed, leave it unresolved until the responsible team member checks it.
